China Hotel Booking Name Mismatch: How to Fix It Before Arrival

A name mismatch does not automatically cancel a China hotel reservation, but you should resolve or document it before traveling.

Direct answer: fix the mismatch before departure

First, compare every guest name in the reservation with the passport that will be presented at check-in. Then correct any editable fields in the booking app, contact the booking platform if necessary, and message the hotel in writing. Ask the property to confirm that it can locate the reservation and check in the named foreign passport holder.

A difference in spelling, name order, spacing, hyphens, accents, transliteration, or Chinese characters may be harmless, but it can also make a reservation harder for a hotel to find. A mismatch does not automatically mean the booking is cancelled or that check-in will be refused. However, the platform’s rules and the individual hotel’s current requirements can differ, so do not rely only on an app status or an automated confirmation.

1. Compare the reservation with the passport

Open the confirmation and check the guest details against the biographical page of the relevant passport. Look at:

  • Surname and given-name order
  • Middle names that were omitted or shortened
  • Spaces, hyphens, and punctuation
  • Accents or other marks removed during data entry
  • Latin-script spelling and any transliteration
  • Chinese characters entered alongside, or instead of, the Latin-script name
  • The names of every guest, not just the lead guest

For example, a passport might show a surname and two given names while the booking displays only one given name. A platform may also reverse the order of the names or remove a hyphen. These differences are not automatically treated the same way by every hotel or booking service.

Check whether the reservation contains only the lead guest’s name or separate details for everyone staying. Also confirm the booking number, property name, dates, room type, occupancy, payment status, and cancellation terms.

Save a screenshot or PDF of the confirmation. Keep an offline copy in case mobile data, an app login, or hotel Wi-Fi is unavailable.

2. Decide what can be changed in the app

Look for options such as edit guest details, correct spelling, add a guest, or contact support. A minor spelling or formatting correction may be handled differently from changing the person who will stay, the dates, the room, or the number of occupants.

Do not assume that every platform allows a name edit, preserves the original rate, or issues a new confirmation immediately. If the app will not let you edit the relevant field, contact support and describe the mismatch precisely. Ask for:

  1. A case or reference number
  2. Confirmation that the reservation remains active
  3. Confirmation of the exact name or guest detail they have recorded
  4. An updated confirmation, if one is available
  5. A note added to the reservation if the platform supports this

Avoid creating a duplicate reservation before checking the cancellation conditions and payment status of the original. A second booking may create a new charge or leave you responsible for two rooms.

3. Contact the hotel with a bilingual reservation summary

Use the contact method shown in the current reservation, such as the property’s in-app message channel or another contact option provided by the platform. Send a short, clear summary containing:

  • Booking number
  • Property name and address
  • Arrival and departure dates
  • Room type and number of guests
  • Booking platform name
  • Lead guest’s name exactly as shown on the passport
  • Any Chinese-character version or alternative spelling used in the booking
  • The specific difference you want the hotel to check

You can place a Chinese translation below the English text. A translation app can help you communicate, but it cannot confirm the hotel’s policy or create a binding correction.

A simple message could be structured like this:

Hello. I have a reservation through [platform]. Booking number: [number]. Arrival: [date]. Departure: [date]. The passport name of the guest checking in is [Latin-script name]. The reservation currently shows [booking version]. Please confirm whether you can locate this reservation and check in this passport holder. Please also confirm whether your current requirements for international guests have been met.

You can provide the same information in Chinese beneath the English version, using a translation tool if needed. Keep the wording factual and avoid sending more personal information than the hotel needs at this stage.

Ask the property to confirm two separate points: that it can find the booking, and that it can accept the named guest under its current check-in requirements. Do not treat a generic message such as “reservation received” as proof that the name has been corrected.

4. Get written confirmation and prepare a check-in packet

Request a reply that clearly identifies the booking number, dates, property, and corrected or accepted guest name. If the hotel says no change is necessary, save that message too. It can show that you raised the issue before arrival and received guidance from the property.

Prepare a one-page bilingual reservation summary with:

  • Hotel name and address
  • Booking number
  • Arrival and departure dates
  • Room type and occupancy
  • Guest names in passport order
  • Chinese name or booking variant, if relevant
  • Hotel contact details
  • Booking-platform contact details or support reference

Carry the following in both digital and offline form:

  • The physical passport
  • Booking confirmation and screenshots
  • Written hotel messages
  • Platform support case number
  • Payment, deposit, or prepayment evidence
  • Details of any promised correction

Protect passport numbers, dates of birth, payment details, and other sensitive information. If you must send a screenshot to support or the property, share only what is necessary and redact unrelated personal data where possible.

5. Escalate before arrival if the record is still unclear

If the hotel cannot confirm the booking, contact the platform again and include the hotel’s response, the exact mismatch, and your saved confirmation. Ask support to confirm in writing that the reservation is still active and usable.

Ask whether support can link the correct passport name to the booking, add an internal note, or issue an updated confirmation. If the hotel says it cannot accept the booking or the guest, ask the platform about alternatives before cancelling anything yourself. The available solution may depend on the booking’s cancellation terms, payment status, and the reason the property cannot proceed.

Recheck messages shortly before departure. Hotel procedures, property circumstances, platform instructions, and communication channels may change. A previous reply is useful evidence, but it is not a universal guarantee of check-in.

6. If the booking cannot be found at check-in

Show the front desk your passport, bilingual summary, booking number, and saved confirmation. Do not rely on an online account that may require a working connection.

Ask staff to search using several details:

  • Booking number
  • Arrival and departure dates
  • Booking-platform name
  • Exact Latin-script passport name
  • Alternative spelling or name order
  • Chinese-character version, if one appears in the record

Contact the booking platform while you are at the desk. Ask for an in-app escalation, a three-way call, or written instructions that can be shown to the property. Keep the conversation focused on whether the original reservation is active and how the name should be verified.

Do not pay a second time or accept a replacement room without clarifying the consequences. Ask whether the original reservation remains active, whether any new payment is refundable, and who is responsible for an extra cost. If you must pay to secure a room, request a receipt and written explanation before doing so.

If no immediate resolution is possible, record the time, staff names or descriptions, messages, receipts, screenshots, and the final outcome. This documentation can help with a later support request or payment dispute.

FAQs

Can I check in if the booking uses a shortened version of my passport name?

Possibly, but there is no universal answer. A shortened name, reversed order, missing middle name, or formatting difference may be accepted by one property and require clarification at another. Contact both the platform and hotel, and obtain a written response before departure.

Should I add my Chinese name to the reservation?

Only if the platform or hotel asks for it or provides a field for it. Do not replace the passport name with a Chinese-character name unless the relevant service specifically instructs you to do so. If a Chinese version already appears in the booking, send both versions to the hotel and ask which record it will use.

Can the hotel change the guest name, or must the platform do it?

This depends on how the reservation was made and what the platform permits. The hotel may be able to add a note or confirm the identity, while the platform may control the official booking field. Ask both sides what has actually been changed and request written confirmation.

What if the hotel confirms the correction but the app still shows the old name?

Save the hotel’s message and contact platform support with it. Ask support to confirm whether the old display is only a system limitation or whether the official reservation record is unchanged. Carry both the original confirmation and the hotel’s written response.

What if support is unreachable when I arrive?

Use the saved booking number, passport, bilingual summary, and hotel messages at the front desk. Ask the property to search by booking number and all relevant name variants. Avoid paying twice or cancelling the original booking until you understand the refund and reservation consequences, unless an immediate decision is necessary to secure accommodation.
